Ngāti Whātua Ōrākei is a hapū of Ngāti Whātua. We live in and around the Tāmaki isthmus. We hold to our mana motuhake, our history, our culture, our identity, and our reo. Our whakapapa traces to Tuperiri and the hapū Ngā Oho, Te Taoū, and Te Uringutu.
We are tangata whenua in Tāmaki. Our authority over land and sea rests on take tupuna, take raupatu, ahi kā, and tuku whenua.
Ngāti Whātua Ōrākei Trust looks after the collective affairs of our hapū. We have more than 8,000 registered members across Aotearoa and overseas. Ōrākei Marae is our cultural hub.
Te Kahu Tōpuni o Tuperiri describes the protective reach of our ancestor across our rohe.
Purpose of the role
We are seeking a community focused Registration Administrator to maintain the integrity, accuracy, and security of our Whānau and Hapū Registrations Database while supporting strong engagement with whānau. Based primarily at our marae office with some remote working opportunities, this role provides administrative support, responds to enquiries, and assists with registration and verification processes. Due to the regular interaction with whānau and the importance of whakapapa connections, an iwi member would be well suited to this position.
Ngā tino pūkenga/whēako | Qualifications & Experience
Knowledge of tikanga Māori, whakapapa, and Iwi.
Experience working with registration databases or membership systems.
Connections and understanding of the Iwi and its whānau networks.
Ability to engage respectfully and effectively with whānau across a wide range of situations.
Previous experience in administration, database management, customer service, or a similar support role.
Strong attention to detail and commitment to maintaining accurate records.
Excellent organisational and time management skills.
Strong written and verbal communication skills.
Ability to handle confidential information with discretion and professionalism.
Competency in Microsoft Office applications and database systems.
Ability to work independently while contributing positively to a team environment.

Key Result Areas:
Administer whānau and hapū registration processes, ensuring applications, records, and reports are completed accurately and on time.
Maintain the integrity, accuracy, confidentiality, and compliance of the tribal registration database.
Prepare registration documentation and provide administrative support for Whakapapa Committee meetings.
Assist with whakapapa verification activities, including applicant follow-up and information gathering.
Respond to whānau enquiries professionally, promptly, and in a culturally appropriate manner, ensuring a positive service experience.
Support the planning and delivery of hapū registration activities, iwi engagements, and related events.
Identify data quality issues and contribute to process improvements, including the development of tools, templates, and guidelines.
Act as a key point of contact for whānau, managing feedback, escalating concerns where needed, and supporting continuous improvement in service delivery and engagement.
