We are tangata whenua in Tāmaki. Our authority over land and sea rests on take tupuna, take raupatu, ahi kā, and tuku whenua.
Ngāti Whātua Ōrākei Trust looks after the collective affairs of our hapū. We have more than 8,000 registered members across Aotearoa and overseas. Ōrākei Marae is our cultural hub.
Te Kahu Tōpuni o Tuperiri describes the protective reach of our ancestor across our rohe.

Purpose of the role
The Fleet Coordinator forms part of our centralised Operations team and supports the safe, efficient, and compliant management of vehicles across the organisation.
You will ensure fleet records, documentation, bookings, servicing, and maintenance information remain accurate and up to date. You will also provide responsive support to kaimahi, helping to minimise disruption when vehicle-related issues arise.
This role requires strong attention to detail, excellent time management, and the ability to build positive working relationships with internal kaimahi and external service providers.
Are you highly organised, practical, and confident coordinating vehicles, people, bookings, and maintenance requirements? We are looking for a reliable Fleet Coordinator to help keep our organisation’s vehicle fleet safe, compliant, and running smoothly. This is a permanent, part-time role working 32 hours per week. Working days, start and finish times may vary depending on operational requirements. The role also requires flexibility to respond to occasional urgent or after-hours call-outs.

Essential
Previous experience in fleet coordination, administration, or customer service.
Strong organisational and time-management skills.
Proven accuracy and attention to detail.
Confidence using Microsoft Office applications and maintaining digital records.
Strong communication and relationship-management skills.
Ability to manage competing priorities and respond effectively to day-to-day issues.
Knowledge of te reo Māori or a willingness to develop your language skills.
Ability to meet the role’s driver’s licence requirements (A Full NZ Driver's License)
Desirable
Experience managing databases and producing reports.
Knowledge of vehicle compliance, maintenance, or fleet-management systems.
Experience liaising with service providers and resolving operational issues.
An understanding of workplace health and safety requirements.
Key Result Areas:
The Fleet Coordinator will be responsible for:
Maintaining accurate records for WOFs, registrations, RUCs, servicing, repairs, and vehicle-related documentation.
Coordinating bookings for fleet vehicles and trailers, including vehicles based at Ōrākei Marae and Te Pourewa.
Monitoring GPS systems, mileage records, and vehicle usage.
Scheduling maintenance and liaising with approved service providers.
Ensuring vehicles are clean, safe, available, and compliant with relevant requirements.
Managing vehicle keys, access systems, and user permissions.
Supporting the onboarding and induction of kaimahi who require access to fleet vehicles.
Assisting with vehicle incidents, damage, hazards, and safety concerns, and tracking actions through to resolution.
Providing practical support and troubleshooting day-to-day fleet issues.
Communicating proactively with kaimahi regarding fleet bookings, expectations, and vehicle-use requirements.
Liaising with users, Zilch, and relevant Ngāti Whātua Ōrākei representatives.
Contributing to fleet reporting, efficiency reviews, and improvement initiatives.
